The Executive Assistant provides high-level administrative, communications, and operational support to the Executive Director of CAI-MI. This position plays a vital role in ensuring the smooth execution of Chapter operations, member engagement, event coordination, and communications initiatives. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced, mission-driven environment.
Key Responsibilities:
- Communications & Marketing
- Coordinate and produce CAI-MI’s monthly e-newsletter, including gathering content, editing submissions, and distributing through digital platforms.
- Support social media and website content updates to promote upcoming events, educational programs, and member news.
- Assist with the creation of marketing materials, event communications, and sponsor recognition.
- Member Support & Engagement
- Serve as a point of contact for members, sponsors, and prospects via phone and email.
- Assist with new member onboarding, renewals, and general membership inquiries.
- Maintain accurate membership data and mailing lists in the chapter database (e.g., CAI National system).
- Event Coordination
- Support planning and execution of chapter events, including conferences, expos, golf outings, fundraisers, and educational seminars.
- Coordinate registration, sponsor communication, sponsorship tracking, and onsite logistics.
- Assist with post-event follow-up, surveys, and reporting.
- Administrative & Operations Support
- Provide administrative support to the Executive Director, including scheduling, correspondence, and file management.
- Maintain accurate records, reports, and documentation for Board, committee, and financial activities.
- Assist in sponsor relationships, invoices, and operational logistics.
Support the Board of Directors and committees with scheduling, materials preparation, and meeting coordination.
Qualifications:
- Associate’s or Bachelor’s degree preferred; equivalent experience considered.
- 2+ years of administrative or association experience, preferably in a nonprofit or membership organization.
- Strong writing, editing, and communication skills.
- Proficiency with Microsoft Office Suite, Canva, QuickBooks and database or CRM systems.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple projects, meet deadlines, and work both independently and collaboratively.
- Availability to attend occasional in-person events and meetings (some evenings or weekends will be required).
